Dear All,
We need a volunteer/ Election Officer to create and execute the Association Election process to be held on 3rd September 2017.
Request anyone of you to come forward and help us organize the election. We will wait till 13th August thereafter the current association office bearers will take the responsibility of conducting the election. Please be noted that we would not like to hear that there is any kind of bias or partially done by the current office bearers at any point of time. If there is any concern please come forward and help us conduct the election.

Dear All,
Thanks to the Owners and the Tenants who has joined the meeting. The detailed Minutes of meeting is captured in the PDF attached.
Key Highlights of the MOM mentioned below.
1) Till the time we get the borewell rectified we would put 5- 6 tankers per day which would be costing around Rs 50,000 to 54,000 per month. The association can bear the cost of water upto Rs 15000 to 18000 as per the current collection. Additional amount will be divided among all the Residents (35 residents).
2) Association election would be conducted on 3rd Sep 2017. Nomination, Election process and rules will be shared in a weeks time.
3) The July Month Financials has been discussed which was shared.
4) Discussion on Society Rules and Regulations. For details please refer Attached PDF.
5) Request all Owners to transfer their advance maintenance amount for the next 4 months (Sep 2017 till Dec 2017) to the Association account by Aug end. We are collecting 4 months Maintenance this time to keep the Association Accounting at par with the Financial Accounting Quarters.
Voting required:
1) Borewell repair will cost Rs 40,000 to 50,000 (approx). Details mentioned in PDF attached. Are you ok ? Yes or No
2) For Conducting Fair election we need a volunteer as an election/presiding officer. Please let us know who is interested in this.
3) Require the Nominations for the Office Bearers (As per election rules and regulations to be shared next week)

Hello All,
Please find the attached July Month Financials in advance as suggested and requested. The same will be discussed in detail on the meeting. [For attachment please go to your email inbox]
Below are the details mentioned in the Financial report:
1) Total Cash withdrawal and the Expenses made in Cash.
2) Bank Transactions made till date and the Bank balance available
3) Immediate Future expenses for which we are awaiting the Bills
4) Separate Bare minimum expenses for Aug 2017 which is provisioned and would be spent. (This is Excluding Water)
5) Separate table for Water tanker purchases in month of July 2017 ( Note: These water expenses are already mentioned in the point #1 table and this is for your information only)
6) Separate table for the Project which were completed and the emergency expenses which was done from the 30% of the total Sinking Fund paid by all.
We would be discussing these financials in details and the other points mentioned in the Agenda. Hence request all owners to make every possible efforts to attend this meeting.
This Expense Sheet would be Published in the Blog after the Meeting for every one's reference.

1. Discussing Finance - Expenses and collection status.

- 20th August 2017 is the due date of Maintenance payment for September, October, November and December 2017 i.e. Rs.6000/- per flat. (Final Amount to be decided). We are collecting 4 months maintenance to keep the accounting books according to the financial quarters
2. Discussion on Water Availability
- Bore well pump is not functioning. Repairing cost will be around Rs. 50,000/-. Even if we spend Rs 50,000/- the entire expenses would be from us however water would be divided between Bloom and Golden Era when Bloom gets occupied in next 1-2 months.
- 24 hours water supply will need at least 5-6 tankers of 5000ltrs capacity. Which will cost around Rs. 60,000 per month. At Rs.1500/- per month it is not possible to maintain.
- Only 2 tankers per day can be affordable with Rs.1500/- in which water won’t be available for more than 1 hours based on current occupants and usage.
Options to deal with the situation:
- We can try providing 24 hours water if every owners fix water meter in their apartment. This will cost around Rs.7000 to 10,000 approx. for individual owners. And Water bills to be paid by individual flats on top of Maintenance amount based on their usage.
- Some cost can be reduced by like reducing the night security and install a Swiping Door so that some level of security will be there for night, Removing the Mosquito fogging and pesticides spray etc. and the same amount can be used for buying Water Tankers.
- Collecting the additional amount of Rs 500 to 1000 more only from the Occupied flats so that the same amount can be used for Water Tankers
- Lastly Increasing the Maintenance amount by Rs 500 on top of existing amount from all of the 64 Owners to use the amount for Water tanker
3. July months accomplished task
- UPS Power backup for common area lighting installed (A minor task is pending wherein in only in 3rd floor 1 side UPS is not connected This is due to wrong wiring from Builder side)
- Automatic water cut off switch and Overhead tank Ball wall Installed due to which No water wastage due to overflow.
- New Terrace gate Installed (From Builder’s Expenses)
- G-wire fixed in terrace for clothes drying
- New Kirloskar 3HP 3Phase motor brought for pumping water from sump to overhead tank which has fixed the Pump and also North side block Electric Tripping issue. This was due to the emergency where the existing motor stopped working and no water was available for the residents for 3 days.
- New Steel Almirah brought for association office
- Removed a full time house-keeping staff and employed weekly Gardner – Net saving Rs. 10,000/-
4. Association Rules
- No personal belongings in the common area (Except Shoe stand and designer flower pots)
- Whoever has placed their personal stuffs needs to be removed from immediate effect.
- No clothes drying in common area i.e. in the corridor and in the Garden area.
- Any complaints related to common facilities should be mentioned in complaint book
5. Association Election
- We are organizing association election on 3rd September 2017
- Need nomination for 1) President 2) General Secretary 3) Treasurer 4) Joint Treasurer. Last date of filing the nomination is 27th August 2017.
- Existing office bearers are not entitled to contest the election.
- Eligibility/Criteria, Nomination form and election rules for contesting election will be shared soon.
6. Voting Required
- Bore well repair – Rs.50,000/-
- Fire Extinguisher – 4kg 4units available at Rs. 13,000/- approx.
7. Discuss and Agree on the future projects
- Need to discuss on the future projects to appreciate the value of the Building like Internal and External Painting, Marble floor Polishing, and doing the wiring for the whole building Common area as all of these are in pathetic condition and can lead to emergency at any time.
- Discuss on installing CCTV in the Building for additional Security.
- Collecting the Corpus Funds for initiating and completing the above projects.

Request to reschedule the meeting timing from 10.00 AM to 11.00 AM, due members coming from center of the city will not be able to make it. It is not appropriate to increase further Maintenance charges, due it is already hiked by 50% this year and any further hike would be 100% hike in this year.
ReplyDeleteRegret for not able to reschedule the meeting as per your request Masani sir. With respect to maintenance it is in the discussion table...whatever is the majority opinion we will do that. Please participate in the meeting or vote thru email as required.
