Dear All,
Please find attached the June 2017 Income and Expense Report (Please refer email from Association date 2nd July 2017). Also find below the MOM, New Bye Law, Voting and Action Items.
Meeting Minutes
- Any decision by the association will be shared with all owners before implementing. Association will have to give 1 week time for feedback and suggestions. Post one week based on the majority votes implementation will be initiated.
- List of defaulters to Raj Pillai (Association maintenance defaulter and builder maintenance defaulter) needs to be shared.
- STP should not be taken over without consent from all owners and discussion with Sunrise.
- Fire extinguishers details to be worked out by Raj Pillai along with quote.
- Future corpus projects such as internal and external painting, marble floor polishing, needs to be discussed again with all owners, get the quotes from different vendors, collect the corpus fund and implementation needs to happen in 6-9 months.
- We need to put an Emergency siren for fire alarm.
- It is decided that whatever sinking fund has been collected till date, 70% of the total amount needs to fixed deposited in SBI. This 70% amount will be divided in 25k each while doing the FD. So in case of any emergency whole FD should not be en-cashed.
New Bye Law
- The voting can be considered from those owners who has participated in the voting (In favor or Against) in Person, over Whats App, over TGEOWA blog and thru Email. Any owners who has not voted, association will consider as NO VOTE. And that cannot be included "In favor" or "Against".

UPS
Quotes are shared with all meeting attendees (committee members). It is decided based on the majority voting that a single inverter with two batteries can be installed. As per the quotes available, inverter which cost Rs. 31,700/- (excluding wiring and new GST rates) is the lowest with the following configuration 2.2 KVA Microtek Inverter and 150 AH Elite Battery. Wiring charges can be approximately Rs. 6000/- Rs. 8000/-.

Water Cutoff Switch
Following are the meeting attendees has given their consent (YES) for implementing automatic Water level controller and cutoff switch. This will help us save water wastage and electricity bill. The revised expenses is around Rs. 8000/- to -10,000/-.

Plumber cum Electrician Requirements
Few owners suggested to have a Plumber cum Electrician who can be available on call or weekly basis to rectify any problems related to plumbing and electricity inside the flats. In this case the association has to bear additional expenses. Ideally anything inside a flat should be rectified at the owners cost not by the association. Following are the couple of scenarios which we have to think before implementing this.
Scenario 1: If we keep technician on call basis then the minimum labor charge of any particular plumbing/electricity items will be around Rs. 150 per visit. If every 64 flat has any issue in a month then the association will end up paying 64x150= 9600/-
Scenario 2: If we keep technician on weekly basis then the association has to bear Rs.800/- per day. So in a month we have to bear Rs.800 x 4days = Rs. 3200/-
So please advise
1) Do you want to have plumber/electrician from Association? Respond Yes or No
2) If Yes, then which of the above Scenario? Respond Scenario 1 or Scenario 2.
Action Items
- Requesting all owners/tenants to provide rental agreement copy having the names of every individual person staying in flat to the association by 2nd of August 2017.
- Association needs to assign fixed task to Rajjapa for next 2 weeks. Based on his work we will review his employment. Rajesh Panda/Rajesh Gupta/Sita Devi to do this.
- B.S Raju and Rajesh Gupta ( Treasures) should initiate the FD after 9th July.
- For UPS and FD, the association needs to pass a resolution. (Action with Rajesh Panda and Samrat Biswas)

Hello All,
Further to my email yesterday regarding the meeting, the date of the committee member meeting has been rescheduled to 02-Jul-2017 from 25-Jun-2017 due to Eid Festival.
Hence now we from TGEOWA association are calling a Committee Members meeting on 02-Jul-2017 from 10:30 AM till 01:00 PM. Request all Committee Members to attend the same.
We also wanted to call the owners who are interested to join the meeting if they are free and can make out. With this we can have more participants and have the meeting more fruitful.
The Agenda of the meeting is mentioned below:
1) Discussing the Finance and collection status.
2) Initiation of UPS (for common area) installation which was agreed and passed in SGM (Special General Meeting)
3) General questions and answers with regards to the concerns which some owners have raised.
We request the Owners to get the Printout of their concerns which they have written in the email to whole group so that in the meeting itself we would try to answer their questions and resolve their issues.

We (Meena Srinivasan, my wife, and myself, Anand Doraswami) vote YES for the following items:
(1) UPS
(2) Water cutoff switch.
As regards plumber/ electrician on call or weekly basis, have the members of the committee explored the possibility of seeing what arrangements exist in Sunrise and the possibility of sharing the expenses with Sunrise (and possibly Bloom)?
I also refer to my earleir suggestion that we should consider making the next maintenance period Sep-Dec 2017 (one-time) so that in future the quarters will be the same as the quarters of the calendar year:
"I had some time ago suggested that the next period for maintenance should be changed to four months (just one time), i.e., Sep-Dec 2017 because after that every quarter will be a quarter of the calendar year, i.e., Jan-Mar, Apr-Jun, Jul-Sep, Oct-Dec. Can you please consider this suggestion in the Committee meeting on 2nd July? If you think the idea is good and worth considering, you may add it to agenda for the meeting and circulate the point in advance to the members."
It seems that this point was not added to the agenda for the meeting. Can you please take it up for consideration by circulating it among the members of the committee and also all members of the association by e-mail?

Apologies for not capturing it in the MOM. My bad.
However, we had initiated this discussion during the meeting and many of us liked the suggestion. As the next payment request/cycle will start from August so would bring the proposition to the table in the next meeting for voting. And as per the votes if all or majority owners agrees to pay maintenance for 4 months (to adjust the quarter) then we would definitely incorporate that.
Leveraging the Sunrise electrician/plumber is not yet explored, but we will do a quick check before we appoint anyone on weekly basis.
Hope this answers your questions. Let us know if you have any further concerns. Association will try its best to resolve it.
